to use the RealeSeller™ Import Feature
Selecting the import program:
RealeSeller has two import programs. One is internal to RealeSeller and
one is external. The internal program can create a
RealeSeller Prospect and/or Property from your existing Outlook contacts, and it
can also create Agents and Companies from contact information.
The external program imports data that has been exported from other contact or
prospect list managers. If you have been using Outlook as your contact
manager, you can use the internal import program. If you have already
exported the data from either another version of Outlook or another contact
manager and saved it as a Comma Separated Values file (CSV),
you will use the CSV import program. Both of these programs can be
accessed from inside Outlook and there is no need to shut down Outlook while
doing your import. This import documentation is broken up into two basic
parts. This one explains how to import contacts you already have in
Outlook, and the other explains how to import data from an exported file.
You can start either type of import by going to Outlook and selecting File,
RealeSeller Import, then selecting either CSV Import or Outlook
Contact Import. For this section, select Outlook Contact Import.
Outlook Contact Import:
If you are already using Outlook as your contact manager and your contacts are
located in Outlook already, then making a copy of them in the RealeSeller
Prospects folder is very simple, fast, and easy. Once you have clicked
the Outlook Contact Import selection you will see this window:

If you have been using a separate contact folder for your property information,
you can import those items into your property folder by selecting the Properties
selection. If you are only interested in importing your contacts, select
the Prospects, Agents, or Companies selection. For
this example, we will import Outlook contacts into a Prospects folder. Press the Next button and you will
see this window:

Now select the folder that contains the contact or property items you want to
import. Select Next and you will see this window:

From this list of your contact or property items you can select all of them, one
of them, or a group. You can select all of them instantly by pressing the
small button at the top of the empty field to the left of the listed names.
Once you have made your selections, press the Next button. You will
then see this window:

Now select from the list of RealeSeller folders. You may only see one like
the example above. If you selected to import your contacts and create
properties only, the item(s) in the tree view above would contain Property
folders only. Press the Next button when you have made your selection.
At this point you should see this window:

Create a Property Automatically:
Now, at this point if you selected to import contacts and create new prospects,
you have a choice at this point to create a property
(1) for each one of the
imported contacts that has an address. A property will not be created if
the contact does not have an address. If these contacts are simply
prospects, you shouldn't create a property for them. You would want to
create a property using the contact information if they are living in a house
they purchased from you, or they are listing etc. By default, RealeSeller
will create a property record from their selected mailing address. But,
you can have the import create a property from any one of the three available
addresses.
Add a Category to Imported Items: (2)
Using this powerful feature, you can tag each imported item so that you can
identify it from all others. You can either use an existing category or
make a new one.
Duplicates: (3) You can choose to
either replace the existing duplicate item with the new one, allow duplicates,
which means another item that may be exactly the same or very similar will be
created, or ignore importing all duplicate items.
Now press the Next button.
You will now see this window:

Press the Finish button and the import will begin.
Wait for RealeSeller to finish importing and press the OK button on the message
window when it completes. Your contacts should now be in the RealeSeller
Prospects folder and if you added a property for each contact, a new
RealeSeller Property
will have been created also. The property and the prospect are linked
together so you can reference a prospect from the property or a property from
the prospect. If you chose to import contacts into your RealeSeller
Agents folder or the RealeSeller Companies folder, everything that
happens is very similar. That is all there is to importing Outlook contacts directly
from Outlook into the RealeSeller folder(s). We hope you enjoy using
