RealeSeller™ Document Browser Features

Using RealeSeller's Document Browser:
You will see the new RealeSeller document browser in its own folder view and you will see it if you create new plan items that link to documents contained in the document browser folder.  This view allows you to keep all of the important documents you use in your business in one place.  It can show thumb-nail views of documents and you can add a short dialog about the item.

Your first view of the window will be similar to the one shown below.  Clicking the Document Library folder (1) will bring up this view.  Next, selecting a sub folder (2), (there are currently 6 and we may add more), will display the documents held (3).  Some basic information is shown (4) about the number of files and to total space they are taking up:


Clicking an item (1) will display some details about the document (2) and an image (3) if available.  The type of file and the file size (4) is also displayed.

Tip:  Small images of many types of documents can be displayed by this document browser, but only if they are available.  When you create a Word document you have the option of creating a thumbnail of the document.  To do this in Word go to File, select Properties, and then put a check in the box next to Save Preview Picture.  That's all there is to it.  This will allow you to easily see a summary and have a visual document cue using a preview image.  Many Microsoft Office programs have this ability.  Word, Power Point, Publisher, etc.  Some files don't need this, HTML and PDF files are thumb-nailed automatically by the document browser itself.

Note:  If your PDF files are not being thumb-nailed, it means you do not have Adobe Reader 7 or higher installed.  You can download it here.
 
Manipulating your documents:
While you can use the buttons to manipulate your documents, if you right-click the document name you can also select from a list of things to do.  All document type act in a similar manner.  If you do not have an editor that will work with these file types, obviously trying to edit the document will not work properly.  To edit any file that RealeSeller keeps in this library you need a PDF Editor, Power Point Editor, Microsoft Publisher, Any Text Editor, a Web Page Editor (like Microsoft Front Page), and Microsoft Word.  While there are many free programs you can use to view any or all of these file types, having Microsoft Office Pro with Microsoft Publisher allows you to do just about all of these file types except for PDF



View Document:
What RealeSeller does when you choose View is make a copy of the original file and puts the copy in a temp folder.  This way you can't accidentally edit the original file.

Add Document:
Choosing Add Document brings up a browser window.  You can browse to the folder that contains the documents you want to import into the RealeSeller Document Library, choose the document you want to import (add), press the OK button, and RealeSeller makes a copy of the document and puts it into the Library.

Create New Document:
If available, RealeSeller will launch the default editor for the file type you selected.  Once the file is created, it is treated just like any other document in that folder.

Edit Document:
If you want to edit the original document, you can choose the Edit option.  This makes changes to the original document so you should be very careful if you decide to do this.

Edit Document Name:
All documents in the Library can be renamed.  This doesn't change the name of the file, it changes the default name stored in a special file that this browser window understands.  When you copy or move a file into the Library, RealeSeller by default uses the file name to get started.  You can then change it using this feature.

Edit Document Description:
Every document can have a brief description associated with it.  You are limited to 256 characters so keep that in mind.  I usually just copy and paste a few lines from the beginning of the document.  It's just another visual cue when you are looking through the documents trying to find that perfect letter.

Delete Document:
Use this selection with caution.  This will remove the file and if it is an original document, the only way to restore it is to reinstall the software.

Forward Document:
If you would like to share a document you have created with others who use RealeSeller, choose this option.  RealeSeller will attach the document to an email.  The person who receives the email only has to click the attachment to install it in their document library... it is automatic.

If you would rather use the buttons, these labels should help.


Document Library Folders:
As of RealeSeller version 3.0 you can add new folders for documents and name the folders using any name you choose.  These folders and their documents will be saved to your database, and if you are using an exchange server, they will synchronized like everything else.  You can not delete the default folders, nor can you rename them. 

Moving groups of files to the Library:

If you would like to copy a large number of files at once, you can open the folder the files you want to move are in, and highlight those you want to move, then drag them to the document list area and drop them.  They will all be added and you can then edit the display names and descriptions.
